To all students:

To carry forward the volunteer service spirit of "dedication, fraternity, mutual aid and progress", guide the majority of young students to cultivate a sense of social responsibility and service, give play to their professional expertise, participate in hometown practice, and show the youthful demeanor of the outstanding students of our university, it is decided to carry out the 2025 summer off-campus volunteer service activities. The relevant notification requirements are as follows:

1. Registration Scope

Full-time registered undergraduate students of our school.

2. Registration Conditions

（1）Love the university and the school, and have good conduct;

（2）Have the spirit of dedication, be willing to work hard, and be happy to exercise their own skills and temper their moral character;

（3）Have basic language expression ability and organizational ability, and can communicate and cooperate well with local organizing units;

（4）Be modest in attitude, gentle in character and patient in work;

（5）Have a good performance in school and actively participate in practical activities.

3. Service Types

Students carry out various volunteer service activities in grass-roots units such as their communities, neighborhood committees and village committees, including public services, community services, helping the weak and poor, ecological civilization, rural revitalization, teaching support services and other volunteer service activities.

4. Time Arrangement

（1）Activity Implementation Time: July 14 to September 5, 2025. Interested students are requested to join the activity QQ group in advance: 141310282, and modify the remarks as: Student ID-Name.

（2）Material Submission Time: Early September 2025.

5. Activity Materials

（1）Activity Information Registration

After carrying out volunteer service activities on the same day, volunteers shall fill in the online collection form for volunteer activity information released in the activity QQ group before 13:00 on the next day. The content includes: the time period of the volunteer activity, the activity content, and activity photos. The photo requirements are as follows:

① Submit at least two photos, including photos of the start and end of the activity. If participating in the activity in multiple time periods in one day, photos of the start and end of the activity in each time period shall be included;

②The photos must truly reflect the volunteer's own volunteer service activities. If the volunteer does not appear in the photos or the volunteer service activities cannot be reflected, the photos shall be deemed unqualified;

③The photos must reflect the specific certification information of the activity, such as screenshots of the shooting time and place of the activity photos, adding time watermarks, etc., otherwise they shall be deemed unqualified. If the photos are unqualified, only 50% of the original volunteer hours will be recorded; if the photos are missing or the collection form is submitted overdue, no hours will be recorded.

（2）Activity Summary Form (Appendix 1)

After carrying out volunteer service activities on the same day, volunteers shall fill in the Volunteer Service Activity Summary Form of the School of Computer Science and Information Engineering, Hefei University of Technology (Appendix 1). The activity summary requires more than 300 words (if the word count is not up to standard or multiple summaries are identical, it shall be deemed unqualified, and 1 hour of volunteer hours will be deducted for the activity corresponding to the unqualified summary form). At the same time, submit two or more photos of the volunteer's own volunteer service activities on the same day (the photo requirements are the same as those in the activity information registration collection form), and relevant certificates, awards, screenshots of news reports and links can also be submitted.

Note: This form shall be filled out for each day of the activity.

（3）Activity Confirmation Form (Appendix 2)

After the completion of all volunteer service activities, volunteers shall fill in the Off-campus Volunteer Service Activity Confirmation Form for Individual Students of Hefei University of Technology (Appendix 2), fill in the relevant activity information, and it shall be reviewed and sealed by the activity organizing unit.

Note: This form shall be filled out for each organizing unit of volunteer service activities participated in. The "student name, hours, contact person and contact information" in the "organizing unit review comments" of the form shall be filled in by hand.

6. Material Submission

（1）Electronic Version: Put the Activity Summary Form (Appendix 1, one for each day) and the Activity Confirmation Form (Appendix 2, one for each unit) in a folder and compress it into a compressed file. Name the file and the email subject as: Name-Student ID-Volunteer Service Type, and send it to the email address of the Pioneer Volunteer Center: 2687721732@qq.com before September 6, 2025.

（2）Paper Version: Bind the Activity Summary Form (Appendix 1, one for each day) and the Activity Confirmation Form (Appendix 2, one for each unit) in order. The specific submission time and method will be notified separately in the activity QQ group.

7. Hour Recording

The school will review the submitted materials and record the corresponding volunteer hours in the "Public Welfare Service" module of the Second Classroom Transcript. Special notes:

（1）The school will evaluate the volunteer hours declared by individuals as appropriate according to the completeness of the submitted materials and the content of the volunteer service activities. According to the guiding documents of the university, the upper limit of volunteer hours for this volunteer service activity is 30 hours;

（2）Volunteer hours are recorded in 1 hour as the minimum unit, and the daily recognized hours shall not exceed 8 hours;

（3）The total recorded off-campus volunteer hours in the undergraduate stage shall not exceed 60 hours. If the previous recording has reached 60 hours, no more off-campus volunteer hours can be recorded.

8. Notes

（1）Enhance safety awareness when carrying out volunteer activities, do a good job in heatstroke and flood prevention, and guard against safety accidents.

（2）Abide by laws and regulations during the activities, establish a sense of loving and honoring the university, and show the good image of school students.

（3）Please submit the relevant certification materials on time and in accordance with the above requirements. Failure to fill in the collection form in the group within the specified time for submitting the volunteer activity collection form shall be deemed invalid;

（4）Any submission of false materials will result in the cancellation of the qualification for this activity upon verification, and at the same time, the right to participate in the volunteer service activities held by the school in the next semester will be prohibited;

（5）The final right to interpret the recording of volunteer hours belongs to the school.
